Year-Long Positions

TRC Board - Board positions are filled by vote at TRC board meetings.  Serving on the board does not count toward mandatory volunteer hours.

Non-Travel Opportunities

President (Board Position):

Serves as club leader and liaison with parents, coaches, rowers, and the community.  Supports other officers of the club and committee coordinators. Sets agendas for the Board activities by identifying issues for consideration.  Conducts Board meetings to ensure there is a forum to hear all points of view on key topics and policies. Serves on Disciplinary Review Panel Committee.  Conducts parent meetings and End of Year Banquets. Assists Volunteer Auditor to address unfulfilled volunteer obligations. Additional responsibilities as the need arise.

​Vice-President (Board Position):

Assists President as needed and/or works on special projects.  Assists Volunteer Coordinator with needs/wants. Serves on Disciplinary Review Panel Committee.  

Treasurer (Board Position):

Manages the finances of the Club and signs off on purchases and contractual agreements.  Maintains TRC the checking account and other accounts. Pays for all Board-approved club payables including coaching fees, equipment purchases, insurance, travel, uniforms, regatta entry fees, etc, and provides reimbursement to parents and coaches that incur TRC-related expenses.  Prepares a monthly Treasurer’s Report for presentation at Board meetings. Serves as primary TRC contact person for most financial transactions, Maintains records of receipts and expenditures. Files tax forms on club behalf. Prepares a long-term asset allocation spreadsheet for board review.  Provides bus driver tip money to the Regatta Parent.

Secretary (Board Position):

Manages TRC correspondence.  Takes Board meeting minutes (and other related meetings) and submits them for Board approval. In addition to editing and updating documentation such as the Rower/Parent Handbook.

Public Relations Coordinator:

Creates and sends out news blasts such as: regatta results, recruitment, and additional accomplishments to various media outlets (ie; paper, news stations, schools, rowing organizations, etc.). Coordinates with Social Media Representative, Website Coordinator, and Newsletter Editors.

Social Media Coordinator:

Posts photos and information about TRC via Twitter, Instagram, and Facebook (i.e., regatta results, everyday activities showing our team in a positive manner, and event notices). Coordinates with Public Relations, Website Coordinator, and Newsletter Editors.

High School Parent Liaison:

Serves as a liaison between the rowers, board, and parents. May involve communicating information or answering questions via email, helping new families/rowers connect with the group and become comfortable as well as planning local team-building events.

Middle School Parent Liaison:

Serves as liaison between the rowers, board, and parents.  May involve communicating information or answering questions via email, helping new families/rowers connect with the group and become comfortable as well as planning local team-building events.

Community Outreach Coordinator:

Coordinates with other groups that use Lake Wheeler to build relationships with the city to further the growth of our sport. Increase visibility and support the local community through two service projects per year. One service project is Lake Wheeler Clean-up day. Additional activities are subject to Board approval.

​Volunteer Coordinator:

Manages Volunteer survey, publishes and maintains documents to track who is storing what items. Coordinates with President/VP and Food Coordinator to confirm volunteer position needs at regattas and dates to be published on the Signup Genius. Send reminders.  Sends email to responsible persons to remind of year-long duties and be the contact person if they have any questions/concerns

Volunteer Auditor:

Works with Volunteer Coordinator and Sports Engine Manager to audit and monitor family volunteer compliance (hours vs. “opt-out”).  Send non-compliant members to Board President for further intervention.

​Fundraising Coordinator:

Determines appropriate fundraising activities for the season, subject to full Board approval.  Coordinates activity with the coaches, and team and facilitates the event. Promotes and manages Sustainers, works with Treasurer to manage funds, and correspondence with corporate matching and donations.  

Grant/Scholarship:  

Researches available grants and applies on behalf of our team.  For any money that is donated and set up as a scholarship fund, write up criteria, coordinate with  theTreasurer, seek Board approval, and advertise accordingly. 

​*Spirit Wear / Swag Coordinator:

Season-Long or Year-long
4+ hour - Local (and Travel - what about sales at regattas?)

  • Assists with online spirit wear store (SportsEngine/Squadlocker)
  • Assists with ordering/storing and selling swag for TRC
  • Works with Newsletter Editors to advertise items for sale or sells at events.
  • Works with Spirit wear distributor to determine the items that need to be added or removed to optional supply.  Manages the process of ordering clothing, collecting money, and distributing gear. Works with Newsletter Editors to advertise items for sale.
​Newsletter Co-Editors:

Collects pertinent, updated information from TRC Social Media, PR, coaches, board, parents, and any other delegates to create a newsletter to be published to subscribers on a regular basis.  

Uniforms:

Manages uniform inventory, travel shirts, and jacket orders. Negotiates pricing and delivery with manufacturers. Helps with sales and assists rowers/families with sizing. Attends parent meetings to explain the fitting and purchasing process. Sets up fitting days each season so rowers can try on samples to determine what size they need to purchase.

Website Maintenance:

Keeps Website enticing and relevant being mindful it is the first impression of our team.  Updates website with information provided by Social Media Coordinator, Public Relations Representative, Board Members, and other delegates.  

Registration Management:

Oversees athlete registration and works with Sports Engine Representative and Board to optimize the process.  

​Equipment Maintenance:

Communicates equipment needs and repairs with Head Coach during the season. 

Oar Painting:

Coordinates with Head Coach regarding when/which oars need updating and what products to use.  Oars can be updated at your home. Works with Board Treasurer for reimbursement of supplies.  

*Snack Coordinator:

 Season-Long or Year-Long
4+ hours - Local

  • Stores snack bins and takes inventory in between events/regattas
  • Creates and sends Sign-up Genius for Snack Donations
  • Collects snack donations and loads on Chuck Wagon (typically at Lake Wheeler)
*Water Coordinator:

Season-Long or Year-Long
4 hours - Local and Travel

  • Cleans water coolers and tarps between events/regattas and ensures that the coolers and tarps are on the chuck wagon before each regatta or event
  • Ensures 2 cases of water are loaded on each bus prior to each regatta (submit receipts to Treasurer for reimbursement)
  • Delivers Full coolers - to the bus for transport to the regatta
  • Connects with coach or TRC board member to see if there is a water source at the regatta and if not coordinates a backup plan. 
*Pots & Pans Coordinator:

Season-Long or Year-Long
4 hours - Local 

  • Picks up dirty pots and pans, food coolers, and other supplies after events/regatta from Chuck Wagon
  • At home - Responsible for cleaning/sanitizing pots and pans and other utensils
  • Responsible for ensuring that supplies make it back onto the Chuck Wagon before the next event/regatta
*Propane Coordinator:

Year-Long
4 hours - Local 

  • Communicates with the Grill Master/food team regarding propane needs for each event/regatta
  • Picks up and refills propane tanks (submits receipts to the Treasurer for reimbursement)
  • Delivers the propane tanks to the Chuck Wagon (typically at Lake Wheeler) in advance of events for transport
    • If more than 4 tanks are needed for an event, the rest should go on Coach Will’s trailer
Park Parent:

A parent that already travels to the lake for drop off and pick up and plans on staying for the duration of practice. Used for miscellaneous issues by coaches as a point of contact. TBD and in direct contact with TRC President and Vice President.

​SafeSport/Equipment Safety Coordinator:

Maintain up to date records of Safe Sport policy changes and ensure TRC is in compliance with policies.  Also responsible for maintaining safety equipment in launches & chuck wagon.  Works closely with Head Coach as well as board President and CW Coordinator

Alumni Representative:

Maintain ongoing contact with former athletes and families.  

*Chuck Wagon Inventory Coordinator:

Season-Long, Year-Long
4 hours - Local

  • Takes inventory and cleans/organizes the Chuck Wagon after each event/regatta
  • Communicates inventory needs to the Food Coordinator
  • May assist with shopping/replenishing supplies (Submits receipts to the Treasurer for reimbursement)
  • Coordinates with Wagon Storage Rep, Water Cooler Rep, and Pots/Pans Rep to allow access for items to be gathered, cleaned, and returned to the Chuck Wagon.  
Chuck Wagon Storage:

Responsible for storing the Chuck Wagon on your property in a safe and clean area.

Chuck Wagon Coordinator:

Responsible for maintaining the Chuck Wagon and repairing as necessary.  Will work with Equipment Safety Coordinator to ensure all safety checks are up to date.


On-Site Regatta Opportunities

Food Coordinator: (Regatta Experience Needed)

Year-Long
4+ hours - Local and Travel to Regattas

  • Collaborates with Menu Planner to finalize menus for regattas
  • Maintains a list of athlete allergies (available from SportsEngine / Registration Coordinator)
  • Communicates volunteer needs with Volunteer Coordinator for regattas depending on menu
  • Uploads recipes for regattas to Google based on the menu (we have a binder of TRC recipes!)
  • Communicates with the Trailer Coordinator, Chuck Wagon Transporter, Propane Coordinator, Water Coordinator, Chuck Wagon Inventory Coordinator, Pots & Pans Coordinator, and Snack Coordinator regarding trailer loading times and locations (updates central spreadsheet with details, when needed)
  • Emails Grill Master, Bagel Parent, Hotel Coordinator, Dinner Delivery/Servers, Ice Cream Server prior to each regatta to provide details about team hotel and meal times (this can be one email!)
  • Sends Sign-Up Genius for regatta food orders, if needed 
  • Answers food-related questions from parents    
  • May shop for supplies, according to inventory needs
Assistant Food Coordinator:

Great way to learn the ropes. Works with Food Coordinator to create menus. Assists with shopping for regattas, assists with sign-up genius and help work out logistics for food transportation and set up at regatta and hotel.

Chuck Wagon Transporter: 

Transport CW to/from regattas.  Pick up CW from storage and coordinate with Food Coordinator for drop-off on site Regatta.  Will also work with FC to pick/up at Regatta and return to Storage.
